The Problem

The Lyon County Sheriff’s office came to doc doc goose in need of a professional storage system for photography related investigations. Prior to this project’s implementation, their sworn personnel had an arduous process of cataloging evidentiary photographs. A deputy would take photos at the scene of an incident, crime, or accident. The deputy would then return to the office, save the photographs to their desktop, and transfer or burn them to a CD-R before physically attaching them to a case or collision investigative file. This took considerable time and left room for human error, not to mention the added cost of CD-Rs and envelopes.

The Solution

doc doc goose provided an easy-to-use Nexus software application to store digital photographs and catalog information. They worked with XBS Office Solutions to develop a photographic evidence control function, which simplifies the process for storing and retrieving agency photographs. The end product allows deputies and officers to upload their photographs directly from crime and accident scenes in the field via their issued cellular phones and receive immediate confirmation they have been successfully uploaded to cloud storage while simultaneously notifying a supervisor. This solution saves time and money; both of which are precious commodities in law enforcement work today.

The Problem

The Warren County Parks and Recreation Department came to doc doc goose with the hope of digitizing and automating work orders. Each time a work order was created, it was created by hand, in triplicate. Not only was this inefficient, but it was not eco-friendly. Errors and missing information often caused delays while information was re-submitted and clarified. An inability to track made it difficult to know who was responsible for certain duties and made it hard to provide updates in order to manage, prioritize and make changes for bandwidth considerations. The inefficiencies caused a loss of productive work time for employees.

The Solution

The doc doc goose team created a customized software solution that saved Warren County Parks and Recreation time and money by having information flow automatically where it needed to go. Employees are now able to fill out work orders from any device regardless of where they are located, making things easier to complete and process. There is no wasted time searching for missing information or deciphering handwriting. Pictures can be easily attached. With pictures, less needs to be communicated through writing. When work orders are submitted they are triaged at a manager level and assigned. A custom dashboard shows real-time updates and adjustments as needed can be made from anywhere. Closed work orders are automatically filed in the system and easily searchable for historical reference or questions. Our solutions save both valuable time, and trees.

With locations worldwide and a manufacturing and distribution facility in Kentucky, Soudal Accumetric is leading the way in producing sealants, foams, and adhesives. To stay on the cutting edge, Soudal was searching for a way to increase efficiency, especially in processing customer orders. With an outdated document management system and multiple programs such as SAP and Sharepoint, employees were saddled with a multistep process that required both physical and digital copies of each order. Not only did this cause processing orders to take more time, but it also made accessing the orders later a tedious task. (Talk about double trouble…)

The Solution

doc doc goose spent quality time with Soudal getting to know the company’s needs and creating a customized plan for souped-up efficiency. Unlike those big, impersonal providers, DDG gave Soudal continual one-on-one support throughout the process. Using Sharepoint, which was already familiar to the company, DDG replaced Soudal’s outdated document management system with advanced capture. Now each document’s data is analyzed as it is uploaded or physically scanned, making storage and organization a breeze. Additionally, partner XBS Office Solutions upgraded Soudal’s copiers and integrated them with the new system with a focus on efficiency and traceability. Now, Soudal is planning to spread the love and expand this new system into offices in 19 countries and its Belgian headquarters.

Located in Louisville, Kentucky, Surgical Care Associates has been operating longer than any other practice in the state and is dedicated to the treatment of patients with disorders of the arteries and veins. Surgical Care Associates care deeply for all of their patients, so they spent over 240 hours a month printing, mailing, and cataloging paperwork for all of them. Aside from the time commitment, handwritten paperwork can result in issues with insurance and missing essential information. They were also relying on copiers that weren’t as secure as they could be.

In order to maintain funding and HRSA compliance, Health First Community Health Center, in Providence, Kentucky, was required to survey patients on their care experience. Using a legacy survey app was ineffective and created extra work for the Administrative team. Health First was wasting hours of labor processing surveys each month, making it more difficult to respond to patient feedback and implement necessary changes. Their printers and copiers also needed to be upgraded for HIPAA compliance. It was time for some upgrades!

The Solution

doc doc goose created a custom application for Health First that allowed patients to complete the survey digitally. Results are now cataloged instantly, increasing efficiency and aiding in compliance. When entering an unfavorable answer, patients are immediately asked for additional comments, and the administrative software alerts a member of patient care, so they can implement necessary changes and improve the patient experience. DDG partner XBS Office Solutions set up a HIPAA compliant copy and printing system for Health First that allowed them to better manage printing jobs, reduce waste, and increase security. Now, Health First is looking toward utilizing their automated form solution to streamline return-to-work criteria documents from the CDC as communities begin to re-open during COVID-19.

The Problem

Located in Monticello, Kentucky, Community Care Clinic is a non-profit that provides health care for patients in need of assistance. Community Care Clinic just opened their doors recently, however, are not new in the healthcare space as their sister company paved the way. They knew that patient intake forms were extremely time consuming and did not wish to replicate the old paper-based system. Additionally, their sister company was used to acquiring copier machines from a big box retailer and spending thousands of dollars in toner without any support, as they continued to grow they knew they needed a change.
